Procedural and Policy Acknowledgement

Below you will find procedural and policy requirements for each AV/webcast technician at each location. Please use the information below as a checklist – you must be able to meet or exceed each of the requirements below, unless pre-approved by LBiSat.

LBiSat has the expectation of a 0-defect webcast broadcast, meaning no down time during the test or broadcast.

CONTACTING YOUR LOCATION FOR DETAILS – Not only should you be contacting your location’s event manager early on to coordinate event details, but you should also contact the event manager as the event nears to make sure everything is still on schedule, and venue or event details have not changed.

CONTACTING YOUR LOCATION FOR A/V & WEBCAST SET-UP & VERIFICATION – It is important to include in your discussion with the venue contact that you can get into the room 1.5 hours prior to the pre-test time. If you are providing A/V for this Webcast/Broadcast let us know so we are aware of it if you haven’t already. You should have already been in contact with the venue via site survey, to see if you need to provide it or have let Bobby or Melodee know to provide it for the venue by now. If any A/V any issues come up, please notify LBiSat. Also, if your venue requires a password to access their venue’s Ethernet or Wifi, please make sure you find that out from your venue contact before she/he leaves for the night. If for any reason in house internet goes down, you should immediately switch your hot spot. Please be sure you have it running at all times in case you have to do so. Bring the right cable that connects your lap top to the TV or projector. If both the inhouse internet goes down or your hot spot is not working, you will need to play the pre-recorded video you recorded.

ONSITE PROCEDURE – Once you have arrived onsite, the client and LBiSat require that you notify the site contact of your presence. Please also introduce yourself to the Rep that will be on-site. You are expected to remain onsite throughout the duration of the event and for no reason should you leave the venue or perform any other function than your event responsibilities warrant.

IN TRANSIT OR RUNNING BEHIND SCHEDULE – If you are ever running behind schedule, you MUST contact both your location’s event contact and LBiSat to update them of your status. Further, it is of the utmost importance to be consistent and truthful in your status update to all parties. We don’t want client representatives contacting LBiSat to tell us that what we have told them is false or misleading.

PAYMENT – Before the day of the event, each technician is responsible for notifying LBiSat Satellite Communications of the TOTAL itemized cost we can expect on an invoice following the event. This includes taxes (if applicable). Please include the LBiSat P.O. on it.
